How to Report Website Monitoring to Clients: What to Include and What to Skip

Most agency monitoring reports are written for the person who built the monitoring system, not for the client who needs to understand it. They are full of uptime percentages, response time graphs, and SSL validity windows — metrics that mean something to a developer and very little to a marketing director who just wants to know if their site is working.

This is how to build a monitoring report your clients will actually read.

What Clients Actually Want to Know

Before deciding what to include, it helps to understand the questions a client is implicitly asking when they receive a monitoring report:

  • Was my site working this month? (Not "what was the uptime percentage" — the human version of that question is simpler.)
  • Did anything break or almost break? If so, what happened and is it fixed?
  • Am I going to get a call from a customer complaining about my site? What are we watching to prevent that?
  • Is there anything I need to do or approve?

Notice that "our P95 response time was 340ms" is not on that list. Neither is "SSL certificate valid for 47 more days." Clients want outcome-level information, not infrastructure metrics.

The Three-Section Structure That Works

The reporting format that survives the most client relationships has three sections, in this order:

1. Status Summary (One Sentence)

Everything is fine, or here is the one thing that was not.

"All 12 of your monitored sites were fully operational throughout April with no outages or security warnings."

"One SSL certificate (client-portal.example.com) is expiring on May 14th. We are coordinating renewal with your hosting provider this week."

This section should fit in the email preview pane. Many clients read no further.

2. What We Watched

A brief list of what the monitoring covers — not the raw data, but the categories. This builds confidence and sets expectations for future reports.

  • SSL certificate status for all 12 domains (expiry dates, issuer changes)
  • DNS record integrity (A records, MX records, nameserver changes)
  • Upstream vendor status (Stripe, Cloudflare, Mailchimp) that could affect your site

Keep this section identical from month to month unless something new is added to scope. Clients like consistency here — it signals that the monitoring is systematic, not ad hoc.

3. Incidents and Near-Misses (Only If Relevant)

If something happened — an outage, an expiring certificate, a third-party vendor incident that affected the site — document it here with:

  • What happened and when it was detected
  • How long it lasted (or how long until it would have become a problem)
  • What was done
  • Current status

If nothing happened, this section does not appear. Silence is fine. Clients who receive a monthly "all clear" report build trust over time — they stop worrying about their site because they have evidence it is being watched.

What to Skip

Raw uptime percentages

"99.97% uptime" is meaningless to most clients. They cannot remember what last month's number was, they do not know what is good or bad, and they have no way to verify it. The only time an uptime percentage is useful is when it is notably low and you are explaining why.

Response time graphs

Unless the client is an e-commerce business where page speed directly affects conversion rates (and you have data linking the two), response time graphs are noise. Save them for the quarterly business review if they become relevant.

Certificate validity countdowns

"Your SSL certificate for example.com is valid for 52 days." This is a number that means nothing without context. Replace it with an action if action is needed, or exclude it if the situation is normal.

Lists of every monitored check

A table showing 47 rows of "OK" does not communicate safety. It communicates bureaucracy. One line saying "All 47 monitored endpoints returned normal results" is cleaner and more reassuring.

Delivery Format and Frequency

Monthly is the right cadence for most clients. Weekly is too frequent unless the client has recently had an incident and wants closer visibility. Quarterly is too infrequent — things happen in three months.

Email is the right format for most clients. A PDF attachment gets ignored. A long Slack message gets buried. A concise email with a clear subject line — "April monitoring summary: all clear" — gets read.

A shared status page supplements but does not replace the report. Some clients want an always-on view they can check themselves. A client-facing status page satisfies that need. The monthly email is still valuable because it is proactive — the client does not have to remember to check anything.

When a Client Asks for More Detail

Some clients — particularly technical stakeholders or clients who have recently experienced an incident — will ask for more detail than the standard summary provides. That is fine.

Maintain a separate internal view with the raw data. When a client asks, you can share the specific data point they care about. The key is not to include all of this in every report unprompted.

Building the Reporting Habit

The reporting habit breaks down when it depends on someone manually assembling data from multiple sources every month. The agencies that consistently deliver good monitoring reports have automated the data collection and have a template for the narrative.
